Top Tips for Group Airport Transfers from London

Book Early, Especially for Early Morning Flights

Most group flights from London depart in the early hours. That's not a coincidence — airlines price their early departures more competitively, and passengers trying to save money on long-haul routes end up on the 6am out of Heathrow. This creates a predictable surge in demand for pre-dawn coach hire, and vehicles can be spoken for weeks in advance during peak periods like school holidays and bank holiday weekends.

As a general rule, if your flight is before 9am, book your airport transfer at least three to four weeks ahead. For large groups — 30 people or more — give yourself six to eight weeks. Your driver, your vehicle, and your pick-up time need to be locked in, not arranged in a scramble the week before.

Allow More Time Than You Think

The M25 is notoriously unpredictable even at 4am, particularly around junctions 8 and 12 near Heathrow. Factor in every stage of the airport process honestly:

For international flights, most airlines recommend arriving 3 hours before departure. For a group, add another 30 minutes on top of that. It sounds excessive until the day you actually need it.

"For a 6am departure from London to Heathrow, your coach should leave no later than 4:15am."

Choose All-Inclusive Pricing

Airport transfers have a well-earned reputation for hidden costs. Operators who quote a low headline price often add airport drop-off charges, return waiting fees if your flight is delayed, Dartford Crossing or tunnel tolls, and congestion charge or ULEZ fees — all at the invoice stage when you have little leverage to push back.

When you get a quote from Tigers Transport, everything is included: fuel, driver time, road tolls, congestion charge where applicable, and VAT. The number we give you is the number on the invoice. If you ever receive a quote with a separate line for fuel or parking, ask the operator to reissue it with everything included — and if they won't, walk away.

Flight Tracking — Why It Matters

Good operators track your flight in real time on the return leg. If your inbound flight from Barcelona is delayed by 45 minutes, your driver should already know before you land — and should have adjusted the collection plan accordingly. Ask any operator before you book: "Do you track our return flight?" The answer tells you whether they're running a reactive operation or a professional one.

At Tigers Transport, our dispatch team monitors all inbound flights for airport collection jobs. Your driver won't be standing at arrivals wondering where you are, and you won't be standing at arrivals wondering where your coach is.

Luggage: The Overlooked Factor

The single most common cause of vehicle sizing errors on airport runs is underestimating luggage. A group of 16 people heading to a two-week holiday in Spain is not the same as 16 people heading to a day conference in Manchester. The former will have hold luggage for every passenger; the latter might have none.

When you enquire, describe your luggage situation in plain terms: "16 passengers, all with one large suitcase and one carry-on" gives us everything we need to match you with the right vehicle. Cabin bags only? We might be able to fit your group into a smaller vehicle at lower cost. Full hold luggage for everyone? We'll make sure you have a vehicle with the boot capacity to handle it comfortably, without cases piled in the aisle.
